How could we improve Flow?

You've used all your votes and won't be able to post a new idea, but you can still search and comment on existing ideas.

  • When an admin closes an idea you've voted on, you'll get your votes back from that idea.

  1. Assign project owner/lead

    When creating a new project, it makes sense (and other apps such as Asana support the ability to) designating a Project Owner, who is responsible for the completion of the project (and potentially for outlining the required tasks and assigning them to the relevant people). However, we can't seem to find a method of doing something similar in Flow.

    Are we missing something, or thinking about things in the wrong way? Any suggestions you have would be appreciated.

      This is something we’ve talked about both as a team and the makers of this product. As it stands, with project notes at your disposal, you can mention the project owner in the note for the project. I’m wondering if there is anything more you’d want from a project owner? What would help them do their job better?

      Would be great to be able to save searches to the favorites section.

      Also more advanced searching:

      - Searching for things NOT tagged (or with a specific tag)
      - Search for sections

        While I find the current blue/white Flow theme to be very simple, it might be nice to provide alternative color schemes (still clean and slick, though, of course). Or, maybe allow users to set their own colors to certain parts of the app using specific color codes (e.g., sidebar background #FFFFFF).

          No plans for this one. Hey, who knows, maybe we’ll work this in during an exploratory hack day.

        • Export chat archive

          It would be great to have the ability to export the chat archives so they can be saved and viewed offline for reference.

          • Add Custom Fields to Tasks

            I would LOVE to be able to add custom fields to task items so I can track: Set Budget, Estimated Time, Actual Time, Completed Date (to compare performance of team against Due Date, Team Rate ($), Invoice Rate ($), Proft/Loss, etc. Then also the ability to do simple equations (to calculate est time vs actual time, profit/loss, etc.

              We don’t have any plans to do anything like this anytime soon, but we can certainly recognize its utility, especially if you could filter and sort by these values as well.

            • Create a Task via Email with a List of Sub-Tasks

              Currently, there's a way to set up tasks by sending an email to tasks@getflow.com. You can set it up with a list name, assign it to a team member, add subscribers, etc. However, there is currently no way to set up a task with sub-tasks via email. This is a feature we are desperately hoping gets implemented sooner rather than later!

                First of all, I love love the new look & feel, I love having the task view on the right side, and I love having different workspaces. Bravo!

                Here are a couple features that I would have loved to see come along with this update:

                The ability to assign tasks to people on my team using the "@" symbol within the title. Maybe if you have more than one person the first one is the one assigned and the others are just subscribers...

                  We are planning to make it much easier to quickly enrich your tasks with details, directly from the task title input in the task form and quick task bar, using the same syntax we use with emailing tasks to Flow.

                • Looping in non-Flow users to tasks

                  Sometimes you want to assign a task to a person that is not using flow. You do not want to invite that person as they might not work that much with you. But you want to assign one task to them.

                  It would be great, if you could assign Tasks to "email addresses" and those people have the possibility to comment and check off the tasks without creating a flow account and without logging in. They just click on a link in their email message, review the task and later check it off with the same link.

                  • Advanced repeating task options

                    I have recurring tasks for work that must be scheduled for the first of each month. The problem is that the first of each month isn't necessarily a business day, it quite frequently will be on a weekend. I'd love it if you could add the ability for me to create recurring tasks that occur on the closest business day after the first of the month (or the first of the month if it DOES happen to be a business day).

                      We do not have any current plans to enhance our repeating task functionality in the near future.

                    • groups of groups

                      I would love to be able to create multiple levels of project groups. E.g., I wanted to created a group of projects today that are top priority for my team, but one of them is in fact a larger program consisting of multiple projects itself. Since that one already exists as a group, I could only include a "pointer" project to refer to it.

                        • Create and track Google Docs from within Flow

                          It would be really great if you could click a button within a Flow task to create a new Google Doc (or sheet) — and have flow automatically update the task with a link to the new associated Google Doc.

                          Right now, we have to log in separately to Google, create a doc, update the doc's sharing permissions, and then copy and paste a link to the doc back into the flow task. A more native integration would save lots of time!

                          • Description for Quick-Task

                            Hi

                            "Quick-Task" is a really great function. ... with one deficit: In our company, nearly every Task needs a Description. Because there is no chance to add the Description via Quick-Task currently, people have to either edit the Task after creation (so Quick-Task becomes useless) or have to put all information in the Title (wich results in ultra-long Titltes :( )

                            So please add the posibility to add the Description via Quick-Task.

                              I usually just bullet point or number any notes in the comments section. A checklist could come in handy to let my team check off the items as they make progress.

                                When performing a search, all related results are returned. Frequently, all we want to see is open tasks. It would be nice to have a way to exclude deleted or completed tasks from our search when we want to - advanced search options. Maybe it could include the ability to select a date range, attachments, people, tags? Thank you!

                                  I can see how advanced search options would be helpful. We’d like to build this, we just don’t have immediate plans to do so.

                                • It would be nice if projects with sub-projects and regular projects were aligned

                                  If a project doesn't have any sub-projects it is fully aligned left. However, if it does, the expansion arrow moves the title of the project to the left. It would be nice if project names were all aligned.

                                    Hey! Thanks for your suggestion. I believe the indenting is there to distinguish grouped projects from projects that are not grouped. It might be difficult to tell a group from a project without the indentation. We’ll definitely consider your feedback though, so thanks!

                                      Hey there, while we do not plan to change the ordering of the conversation- the new Catch Up feature does a really great job of showing what bits of the conversation you haven’t seen yet. For long conversations, be sure to check out the “Show Details” & “Hide Details” button if you need to display the task note quickly whilst scrolled to the bottom of a conversation.

                                        We do not need to use harvest in our workflows. (We do not sit at a desk and work on projects for our customers.) For example, an internal customer says "My computer is broken" or "My videocamera is broken" or "The production switcher isn't working." These are all tasks that take us to the customer's workspace in our building and require us to be hands on. (We're a TV network.) It would be nice to be able to recount the time spent and enter it manually.

                                          I often have a collection of tasks both within Sections and scattered across various Projects that I are "on hold" or "tabled" for the time being.

                                          Purely out of a desire to get that Inbox Zero™ feeling, I would love to be able to archive or table specific tasks or sections until the team comes back to them.

                                          There's nothing quite like seeing all those tasks assigned to you that you can't do anything with. #OCD

                                            I like this suggestion, Jody. Makes total sense. There’s definitely work to be done to bury (and resurface) tasks in Flow in a timely way.
