How could we improve Flow?

You've used all your votes and won't be able to post a new idea, but you can still search and comment on existing ideas.

  1. Smart syntax for task rows, task form (@assign, #tag, etc)

    First of all, I love love the new look & feel, I love having the task view on the right side, and I love having different workspaces. Bravo!

    Here are a couple features that I would have loved to see come along with this update:

    The ability to assign tasks to people on my team using the "@" symbol within the title. Maybe if you have more than one person the first one is the one assigned and the others are just subscribers...

    We are planning to make it much easier to quickly enrich your tasks with details, directly from the task title input in the task form and quick task bar, using the same syntax we use with emailing tasks to Flow.

  2. Looping in non-Flow users to tasks

    Sometimes you want to assign a task to a person that is not using flow. You do not want to invite that person as they might not work that much with you. But you want to assign one task to them.

    It would be great, if you could assign Tasks to "email addresses" and those people have the possibility to comment and check off the tasks without creating a flow account and without logging in. They just click on a link in their email message, review the task and later check it off with the same link.

  3. Advanced repeating task options

    I have recurring tasks for work that must be scheduled for the first of each month. The problem is that the first of each month isn't necessarily a business day, it quite frequently will be on a weekend. I'd love it if you could add the ability for me to create recurring tasks that occur on the closest business day after the first of the month (or the first of the month if it DOES happen to be a business day).

    We do not have any current plans to enhance our repeating task functionality in the near future.

  4. Private Tasks Within a Project

    There are numerous times daily when I want to assign one person a task without them seeing the rest of the tasks on a list (often because it's beyond their pay grade or there is confidential information shared.) But I can't, so I end up having to create list after list based on who's allowed to see that list (often one list for one person?!) rather than being able to keep lists project-oriented or categorical.   5. Multiple language support

    We are located in Germany and we have Consultants throughout Europe. Translations would be very nice!

    While we would love to offer localization in future updates, we’re still a small team that is unable to offer support in those languages as well. We will absolutely revisit this feature when we have the resources needed to make it really amazing.

  6. Add Custom Fields to Tasks

    I would LOVE to be able to add custom fields to task items so I can track: Set Budget, Estimated Time, Actual Time, Completed Date (to compare performance of team against Due Date, Team Rate ($), Invoice Rate ($), Proft/Loss, etc. Then also the ability to do simple equations (to calculate est time vs actual time, profit/loss, etc.

    We don’t have any plans to do anything like this anytime soon, but we can certainly recognize its utility, especially if you could filter and sort by these values as well.

  7. Save searches

    Would be great to be able to save searches to the favorites section.

    Also more advanced searching:

    - Searching for things NOT tagged (or with a specific tag)
    - Search for sections

  8. Themes

    While I find the current blue/white Flow theme to be very simple, it might be nice to provide alternative color schemes (still clean and slick, though, of course). Or, maybe allow users to set their own colors to certain parts of the app using specific color codes (e.g., sidebar background #FFFFFF).

    No plans for this one. Hey, who knows, maybe we’ll work this in during an exploratory hack day.

  9. Assign project owner/lead

    When creating a new project, it makes sense (and other apps such as Asana support the ability to) designating a Project Owner, who is responsible for the completion of the project (and potentially for outlining the required tasks and assigning them to the relevant people). However, we can't seem to find a method of doing something similar in Flow.

    Are we missing something, or thinking about things in the wrong way? Any suggestions you have would be appreciated.

    This is something we’ve talked about both as a team and the makers of this product. As it stands, with project notes at your disposal, you can mention the project owner in the note for the project. I’m wondering if there is anything more you’d want from a project owner? What would help them do their job better?

  10. Numbering Tasks - Templates

    My team uses a lot of templates. For example, when we get a new client, this list of tasks needs to be completed. The order of these tasks is KEY in successful completion of the process. It would be nice if we could number the tasks in the list and they would stay in order.

    Right now, we simply add numbers to the title of the task (1.A, 1.B, etc.) but then as soon as we change the order in which the list is sorted, they become totally out of order. Another issue with this manual method is that when…

    We don’t plan to prefix numbers in any task view, but the “List, manually” view maintains its sort. So if you need to see the project in sequence, that’s the way to go. Thanks for your suggestion!

  11. Gmail Gadget

    Create a Gmail gadget that allows you to create a task directly from your Gmail interface. We were able to do that with a CRM solution called WorkEtc. There were buttons at the bottom of every email, that allowed you to assign any email to a Task, List, Workspace (different terms in Worketc, but same concept). This allows for a complete and thorough task list.

    This is not planned, but it’s possible to see kanban view on your iPad. Log into Flow from Safari, and “Request desktop site” via the share sheet.

  14. Sync w/ Calendar

    It would be perfect to be able to sync Flow w/ Google Calendar, iCal, or Outlook, so that each team member see other team members' meetings and availability.

    And also while assigning a task, currently users are only able to set due date. But, start date may also be relevant for planning.

  15. Workspace ICONS to return in new FLOW

    I really miss the Workspace Icons. They made is so much easier to quickly navigate between Workspaces because you could upload a logo. They were visual and made the whole space feel like my own. Now it's way too generic. PLEASE bring back the icons!

    Thanks for the feedback! For the time being, Workspaces will remain as is but we are planning on reviewing the comments and feedback we’ve received about the new update and this will receive point will definitely receive some attention. We will keep you posted!

  16. Download all attachments

    Frequently we'll attach multiple PDFs to a task and it's proving tedious to other users having to open each pdf and save one at a time. My thought was to have the ability to download all/multiple attachments from a post.

    As much as we want to build this, we haven’t been able to stick it into our jam-packed plans. We’ll keep an eye on it though! :)

  17. Bulk duplication (tasks and sections)

    The various jobs (or projects in Flow-speak) that we work on could have anywhere from 1 to up to 50 pieces (or sections) with the same steps (or tasks). I’ve made a template for a project with one generic section but would love to be able to copy the section and tasks in that section.

  18. Task status and status transitions like Redmine, Jira

    We use Redmine for developing software, and there's a possibility to design task statuses, transitions, etc.

    Flow is missing this great feature and it would be totally acceptable if we had at least some fixed task statuses, like

    Hey there! This isn’t on our roadmap for the foreseeable future, but another option that might tie you over for now is Kanban/sections. Using Kanban/project sections, you can actually create the statuses that each of the tasks in your project must move through before the project can be completed.   19. Ability to quickly add new tasks to Flow without having to switch focus to app first

    In previous iterations of the Flow app it was possible with a keyboard shortcut to add a new task immediately. The most recent release now requires switching the focus to the app before adding a new task. This makes it difficult to quickly add new tasks when working in other applications.

  20. Stop requiring a project for all tasks

    Unfortunately, now that tasks always have a prefix of "Private Tasks" in the calendar view, the view has become very unreadable.

    Also, the requirement to always have a project with each tasks slows down entering tasks significantly.

    These changes should be reverted.

    I see what you’re saying – the project name (Private Task) listed with the task can look cluttered. The problem is that not including the project name can lead to confusion too. This is something we are not likely to change anytime soon but it does make sense to take a look at it in the future.
